Configuring Conference Calls

This article provides step-by-step instructions for setting up and using a conference line within the HCC. It includes configuration of the conference, IVR, and phone number routing, and outlines the two ways users can join the conference.

Step 1: Create the Conference

1. Navigate to the Conferences screen in the Configuration tab.

2. Create a new conference:

   - Name: Choose a simple identifier.

   - Extension: Use the same number as the Name (`333` in this example).

3. Set a PIN (optional):

   - If you'd like to secure the conference, set a PIN that users must enter to join.

4. Adjust additional settings:

   - Check options such as “Announce Join/Leave,” “Music on Hold,” “Mute on Entry,” etc. as needed.

Step 2: Create an IVR (Interactive Voice Response)

1. Go to the Call Paths/IVR screen within the Routing tab.

2. Create a new IVR:

   - Name: Give your IVR a name such as `Conference_IVR_333`.

3. Add IVR actions:

   - Action 1:

     - Type: `Answer`

   - Action 2:

     - Type: `Conference’

     - Parameter: `333` (must match the extension from Step 1)

 

Step 3: Assign a Phone Number to the IVR

1. Navigate to `Routing → Phone Numbers`.

2. Edit an available phone number:

   - Select a number from your available pool.

3. Adjust the Inbound Route:

   - Set the route to the IVR you created (`Conference_IVR_333`).

Two Ways to Join the Conference

Option 1: Dial the Direct Number (DID)

- Call the phone number assigned to the IVR.

- When prompted (if applicable), enter the conference PIN.

Option 2: Dial the Extension

- From a softphone (like Zoiper or Jitsi) or a physical desk phone:

  - Dial the conference extension directly (e.g., `333`).

  - Enter the PIN if required.

Quick Tips Summary

- PINs: Optional, but recommended for secure access.

- IVR Setup: Ensure the IVR routes to the correct conference.

- Phone Number Assignment: Attach a direct dial number (DID) to the IVR for external participants.

- Softphone Users: Can join by dialing the extension directly.
